ScanCDE
Help and support

Up and running in 30 minutes.

A short guide to your first scan, how to read the result, answers to common questions, and how to reach us.

Your first 30 minutes

Five steps from sign-in to your first result.

Steps 2 to 4 are done once per project by an administrator or information manager. After that, scans run on their own if you schedule them.

Step 1 · Sign in

Open your ScanCDE and sign in

Sign in with the email and password your administrator set up, or with Microsoft 365 if your organisation uses it. If your organisation requires two-step sign-in, you will be asked to set it up with an authenticator app the first time.

Forgotten your password? Use Forgot password on the sign-in page and we send a link to your email.

Step 2 · Connect

Connect your CDE, read-only

An administrator opens Settings → Integrations, chooses the system the project uses and signs in to it. The connection can read; it cannot change or delete anything in your CDE. A project can use more than one system.

Step 3 · Set up

Check your companies and your status codes

In Settings → Companies, add the delivery partners that appear in your registers. In Settings → Status Codes, check that the codes and their order match your project, for example S0, S3, S5, A1 and so on. The defaults are a starting point.

Step 4 · Load the forecast

Add the register and the gateway dates

On the Projects page, upload the project's register (the MIDP, as an Excel file). If your columns are named differently, map them once under Settings → Data Mapping. Then add the gateway dates on the Gateway Dates page, from Excel or a SharePoint list.

Delivery partners can instead keep their own register in the Live Register, where they see only their own company's documents.

Step 5 · Scan and read

Run the scan, then read actual against forecast

On Projects, choose the project and press Scan. ScanCDE tells you before a very long scan and shows progress as it runs. When it finishes, open the Dashboard to see how each programme and project is doing, the Report for one line per document, and Gateway Readiness or the Swimlane for what is due and when.

Reading the result

What the colours and words mean.

Document result

  • Matched: the document is in the CDE at the status the forecast expects
  • Behind plan: it is there, but at a lower status than the forecast says it should have reached by now
  • Not in the CDE: nothing in the CDE carries that document number
  • Naming problems and duplicates are flagged separately

Each planned step

  • Green tick: reached on or before the planned date
  • Amber tick: reached after the planned date
  • Red dot: the planned date has passed and it has not been reached
  • Grey ring: not due yet
Common questions

If something looks wrong.

A document shows as not in the CDE, but I can see it there

Check three things. First, that the document number in the file name matches the register exactly. Second, that the folder it sits in is part of what the project is connected to. Third, that the right field is being read for its status: the File Log has a column called Status read from that shows where each status came from. If all three are right, scan the project again.

A file has no status, or the wrong one

ScanCDE reads the status from a field on the file. In Settings → Integrations, check which field is read for that system. The File Log shows, for each file, the field its status was read from, and flags a file that holds two different statuses.

The scan says it is incomplete

It means ScanCDE could not read everything, for example because a system was slow or unreachable. It keeps the last complete result, so nothing is wrongly reported as missing. Run the scan again; if it keeps happening, write to us and include the message you see.

How do I add someone, or change what they can see?

An administrator does this under Settings → Team. There is no public sign-up. Roles are administrator, member, viewer and delivery partner. A delivery partner sees only their own company's documents in their own projects.

Someone lost the phone they use for two-step sign-in

An administrator can reset it for them under Settings → Team, and they set it up again on their next sign-in.

Can I send the result to a client or an auditor?

Yes. The Report, File Log and other tables export to Excel, and the compliance report exports to PDF, in your own logo and colours if you have set them under Settings → Branding.

What happens if our licence runs out, or we pass the project limit?

Settings → License shows your term, how many projects are active and the limit. If a licence lapses, ScanCDE becomes read-only, never locked: you can always read and export your data. Write to us to renew or to change the limit.

Want us to walk your team through it?

We run a live walkthrough on your own project, so your team learns on data they know. Tell us who is joining and which system you use.
